The pre-departure checklist that actually prevents trip disasters

Every trip disaster I've ever had traces back to a pre-departure checklist miss. Expired passport realized at check-in. No travel insurance when I had a bike accident. ATM card locked because I didn't notify the bank. This checklist spans 30 days before departure down to the morning of your flight, and it's organized by time so you know what to do when.

30+ days before departure

Verify passport: 6+ months validity required past your return date for most international destinations. If you're under 6 months, renew via expedited service ($190 expedite fee + $130 passport book = $320, 4–6 week turnaround) or go to a passport agency in person for same-day ($194, requires appointment). Check visa requirements: some countries require visa-in-advance (India, China, Brazil for some nationalities). ETIAS for Europe starting 2025: $8/€7 online authorization, takes up to 4 business days. Book flights (90–150 days out for shoulder, 120–180 days for peak). Buy travel insurance: 5–7% of non-refundable trip cost. Schedule any required vaccinations: yellow fever, Japanese encephalitis, rabies, typhoid at travel clinic ($380–$1,200 depending on scope). Start researching restaurant reservations (open 30+ days out for tier-1 food cities). Check prescription medications — do you have enough for the full trip + 3 days buffer? Request refills now.

14–21 days before

Confirm hotel reservations — call and verify (30% of bookings have some discrepancy by traveler count). Book airport transportation: ride-share is often fine but pre-book for 5am flights (surge is real). Notify credit card company + bank of international travel (required for most non-Chase/Amex; Chase and Amex usually don't need notification). Update PIN on your debit card if you've forgotten it — some international ATMs only accept 4-digit PINs. Start checking daily weather forecasts for your destination (10-day forecast gets accurate 14 days out). Book any remaining activities/tours/tickets (Vatican, Uffizi, museums in peak season). Download offline Google Maps for each city you're visiting. Research SIM card options: Airalo eSIM ($10–$30) vs local SIM vs T-Mobile/Verizon international plans.

7 days before

Confirm flight times (airlines change departures by up to 3 hours with 7+ days notice). Check in for flight 24 hours before departure on the airline app. Pack preliminarily — fill the bag, see if it actually closes. Do laundry. Get haircut if you want to look presentable in photos. Visit pharmacy for any travel medications you don't have. Copy passport + key documents: photo in email, photo in Google Drive, physical copy in separate bag. Download entertainment: Netflix downloads, Kindle books, Spotify offline playlists (30+ hours for long flights). Check that your home insurance / life insurance covers trip (most do but verify for extreme sports or adventure destinations). Set up Autopay for any bills that'll come due while gone.

2–3 days before

Finalize packing. Weigh checked bags (50 lb international limit, 70 lb some premium cabins). Confirm airport pickup/transit at destination. Email itinerary + hotel confirmations to a trusted contact (in case of emergency). Fuel up your personal car if driving to airport. Prepay long-term parking if using. Stop mail delivery via USPS Hold Mail (free, 3–30 days). Arrange pet care, plant watering, house sitting. Notify neighbor of travel dates + emergency contact. Test TSA PreCheck / Global Entry — make sure your Known Traveler Number is on the flight reservation.

Day before departure

Final bag check. Charge all electronics fully (phone, laptop, headphones, Kindle, camera). Download everything you need offline. Load TSA PreCheck app or check-in confirmation. Set out flight-day outfit: layered (airport, plane, destination arrival may be 3 different climates). Pack carry-on: passport, wallet, phone, chargers, medications, 1 change of clothes (for lost luggage), book/entertainment, snacks, water bottle (empty through TSA, fill after). Set 2 alarms for flight morning. Confirm Uber/Lyft or driver for early flight. Eat a reasonable dinner — not heavy, not fancy.

Morning of flight

2 hours before domestic departure, 3 hours before international. TSA PreCheck: 30 min at normal airport, 15 min at smaller. CLEAR + PreCheck: under 10 min. Take prescription medications. Hydrate. Eat light breakfast. Use home bathroom before leaving. Lock up, leave thermostat at eco setting (55–65°F winter, 78°F summer if you have AC). Close curtains. Turn off water to washing machine in case of leaks while away. Final house walk-through: oven off, coffee maker off, windows locked. Leave.

Airport arrival

Check-in: online check-in done 24h ago ideally. Bag drop 90 min before international, 45 min domestic. TSA PreCheck line: shoes stay on, laptops stay in bag, jackets stay on, liquids bag stays in. Regular line: all off, laptop separate bin. Security questions: you know your passport number? You know your itinerary? After security: grab water (refill empty bottle), find gate, check for gate changes on board. Board in boarding group order.

Items for international travel only

Passport (current + 6-month rule). Visas obtained. International driver's permit if renting car ($20 at AAA). Yellow fever certificate if traveling from/to endemic country. No-FX credit card. Schwab/Fidelity debit card for ATM. Pocket amount of foreign currency ($100–$200 equivalent). International electrical adapter. Copy of insurance policy + emergency number.

FAQ on pre-departure preparation

How long before expiration is "expired" for passport purposes? 6 months past your return date for most countries. Some (Canada, UK) accept valid on arrival. Verify on State Department travel advisory page. Do I still need to notify my bank for international travel? Chase, Amex, Capital One, Citi typically don't require notification in 2026. Wells Fargo, Bank of America, many credit unions still do. Travel insurance: when to buy? Within 14 days of first deposit for maximum coverage (pre-existing condition waiver typically requires this). Otherwise any time before departure for trip cancellation coverage. Packing night-before vs 2 weeks before? Pack 2 weeks ahead (test bag closes). Adjust 3 days before (remove what you decided you don't need). Final check night before. Fixes the "2am realization I'm missing my charger" scenario. Mail hold? Free via USPS Hold Mail for 3–30 days, request 3 days in advance on usps.com. Pets? Rover for dog boarding ($35–$80/night), Trusted Housesitters for free pet + plant sitting in exchange for stay (great for long trips). Should I check the State Department travel advisory? Yes, 1 week before departure and morning of. Check state.gov/travel. Level 1 (normal), Level 2 (exercise caution), Level 3 (reconsider travel), Level 4 (do not travel). What if my flight is delayed more than 3 hours? EC261/UK261 requires compensation for EU/UK flights (€250–€600). DOT rule 2024 requires U.S. carriers to refund for 3+ hour domestic / 6+ hour international delays. Keep receipts for meals + hotel during delay.
